Membership Terms & Conditions

​

These terms and conditions are entered into by and between Base 13 (hereinafter: “Base 13”) and You (hereinafter: “the Member”).


Services:

​The membership entitles the usage of the Base 13 services available.

​

​Membership:

​The membership is personal, and cannot be shared.

​

​Age Limit:

The Member confirms that they are 18 years old or older.

For persons 16 or 17 years old, exceptions are granted based on a written parental consent. Persons under 16 years of age must be supervised at all times.

​

 

Health:

​The Member confirms that they do not suffer from health problems that would hinder exercise or prevent them from engaging in exercise, or that would be detrimental or adverse to the Member’s health, safety or physical condition if they did exercise. In case of any doubt, the Member shall seek advice by a medical doctor who should confirm the ability to exercise. In the event that a member experiences any medical conditions, injuries or becomes pregnant during the course of their membership, it is imperative that they promptly inform a member of staff before their next scheduled session.

Base 13 shall have no obligation to perform a fitness assessment or similar testing to determine the Member’s physical condition. If an assessment is done at Base 13 it is for the sole purpose of compiling comparative data in order to track the Member’s progress in a programme and not for diagnostic purposes.

​

Liability:

​Each Member of Base 13 shall be liable for any property damage and/or personal injury caused by the Member on the Base 13 premises. It shall be the obligation of the Member to pay for any costs involved upon presentation of a statement thereof.

​

Waiver of Liability:

​Any and all use of the Base 13 facilities shall be at Member’s own risk at all times. The Member shall not utilise any equipment unless they know the appropriate usage. Base 13 shall not be liable for any injuries, physical impact or damages to the Member, or the property of the Member, or be subject to any claim arising out of the use of the premises and/or of the equipment made available to the users.

​Storage cupboards for Personal Belongings:

Storage cupboards are available for Members while working out in the facility. Each Member needs to empty the storage cupboard when leaving the facility. Base 13 will open and empty storage cupboards if the Member is not in the facility.

​

 Lost Property or Theft:

Base 13 does not take responsibility for loss or theft of any personal belongings. Any items left on Base 13 premises will be kept for a period of two weeks before being disposed of.

​

Code of Conduct:

The Member shall respect the behavioural and operating principles of Base 13 as laid out in our code of conduct.

​

Suspension/Termination of Membership:

If the Member behaves in a way that breaches the code of conduct membership can be suspended or terminated at management’s sole discretion.

​

​Access & Security:

​Classes are available according to times stated in the Base 13 booking system. Classes and instructors are subject to change with no prior notice.

​

Rescheduling, Waitlist and Cancellations:

Personal Training: The member must notify of any cancellations or rescheduling (within the studio’s availability) a minimum of 24 hours prior to any scheduled sessions. If the member doesn’t attend a scheduled session or fails to give 24 hour’s notice to reschedule, the member will be charged for the full price of the session and the session will be lost.

Small Group Personal Training and Team Training: The member must notify of any cancellations or rescheduling (within the studio’s availability) a minimum of 6 hours prior to any scheduled sessions. If the member doesn’t attend a scheduled session or fails to give 6 hour’s notice to reschedule, the member will be charged for the full price of the session and the session will be lost.

Nightly Blackout:

A nightly blackout time from 12am-3am is in place for cancellations and waitlists. This time period does not count towards the 6 hour cancellation period, this will therefore increase the cancellation window to 9 hours for classes which start between 6am and 9am.


Therefore a 6am class must be canceled by 9pm the night before; a 7am class must be canceled by 10pm the night before; an 8am class must be canceled by 11pm the night before and a 9am class must be canceled by 12am the night before.
 

The Member is recommended to book in advance to ensure that a class has space for them. Booking is available for up to 14 days in advance for small group personal training and 7 days in advance for team training.

Late arrival:
The member is expected to arrive at least 5 minutes before the session start time. Any members who arrive 10 minutes or later after the session start time will not be permitted to join the session and their credit will still be deducted.


Late Cancellations & No-shows:
Base 13 operates with a “three strikes” non-attendance rule, whereby three no-shows within a calendar month will result in a 7 day booking ban. Any future classes the member has booked will also be canceled. The member must cancel their class at least 6 hours before it starts or this will be recorded as a no show.

 

Base 13’s classes may get fully booked. If a class is full the member can book onto a waiting list. An email will be sent confirming the members place on the waiting list. The member must only book on to the waiting list if they are available to attend the class. If the member gets moved from the waiting list to the class but fails to attend they will still be charged and recorded as a no show

​Payment:

​All payments should be made through the Teamup payment system. The Member is responsible for the payment of the membership. This is true even if the amount is debited directly by Base 13. Agreed price only applies if the Member pays according to the agreed conditions.

​

​30 Day Trial:​

The 30-Day Trial is a one-off single offer for new clients. There is no monthly fee and the client is under no obligation to sign up to any services following the 30 days. The 30-Day Trial will start from the date of the first session and will expire 30 days from that point. It is the client’s responsibility that they can manage their diaries to attend the sessions within this time frame. The studio is not responsible for any unused sessions at the end of the 30 days and has no obligation to refund the unused sessions or extend the trial.

Monthly membership:

​

Monthly memberships are charged on or around the 1st working day of each month. The membership extension is triggered by the payment of a subsequent month. All sessions must be used between the first and last day of the calendar month and will expire at the end of the month. Base 13 does not take responsibility for any unused sessions, these will be invalid for the following month and no refund given. If no payment is made, the membership stops at the end of the contracted month.

 â€‹Membership Upgrade/Downgrades:

Members must submit a written request for an upgrade/downgrade of membership by completing the request form. The form must be submitted to Base13 by the 14th of the month preceding the month in which the downgrade is desired. Late requests may not be honored and may result in charges for the following month.

Memberships cannot be downgraded during or when requesting a membership freeze or during or when requesting a membership termination.

Membership Freezes:

​Members must submit a written request for a membership freeze by completing the Freeze Request Form. The Freeze Request Form must be submitted to the Gym by the 14th of the month preceding the month in which the freeze is desired. Late requests may not be honored and may result in charges for the following month.
 

Membership freezes are granted for a maximum duration of 1 month, once in a calendar year.
 

Termination of the membership during the freeze period is prohibited. Termination requests must be submitted in accordance with the membership agreement's cancellation policy. Memberships cannot be downgraded during or when requesting the freeze period. 
 

A freeze fee of 50% of the current monthly membership fee will be charged for the freeze period. After that, membership fee resumes to full price.

​

Membership Terminations:

​If the Member wishes to terminate their membership, a 30 day written notice must be provided. Any payment cycles within these 30 days will still be charged.

Members must submit a written request to terminate their membership  by completing the Membership Termination Form.

Base 13 will not refund any classes not used by you as part of your selected membership(s) in that billing month or backdated, as fees are charged on a whole month basis. Only active memberships can be downgraded. Base 13 will not accept requests for downgrading membership during a notice period (a notice period being based on the last active month).

Note that if you have a scheduled payment within this 30-day period, and we have not received your cancellation request in writing, the payment will be processed as scheduled. All payments are non-refundable  

​Exceptional cancellation:

​A cancellation is exceptionally granted if the Member moves more than 6 miles away from any Base 13 facility, on presentation of an official document to prove change of address. It is also possible to cancel the membership due to medical reasons, upon presentation of a medical certificate.

 

Price Changes:

​
All membership prices are subject to an annual adjustment in accordance with the prevailing inflation rate. Any price changes will be communicated at least one month prior to implementation.
